Restaurants and food delivery chains face a major challenge in reconciling the complex cash flows associated with food delivery (cash on delivery [COD], credit cards, e-wallets, and commissions from third-party platforms), resulting in accounting discrepancies, delays in settling drivers’ and customers’ accounts, and a backlog of manual invoices.
A custom financial module was developed and built within the Frappe/ERPNext framework to automate accounting transactions for the food delivery sector; the system automatically generates journal entries and sales invoices as soon as each delivery order is completed, while providing intelligent payment reconciliation that tracks payments across various channels and updates payment statuses in real time. The module also manages customer accounts, driver cash advances, delivery fees, and payments owed to intermediary platforms with utmost precision and without the need for human intervention, along with a direct automated link to the general ledger to immediately post entries to cost centers, accounts receivable, and cash accounts, ensuring a seamless accounting workflow free of manual discrepancies.
